How It Works

Your property data, tenant information, inspection reports, accounts, plus past and present statement information is transferred from your Property Manager via our server to the website via SSL.  This is the same technology used to secure credit card transactions, so it is completely safe. The information is updated several times a day, so you will have access to the latest information, at your convenience.... when the children have gone to bed, before or after office hours, the choice is yours! This technology, like internet banking, allows you greater flexibility and control.

Our Aim

At Select Property Group we aim to lease your property at the highest possible rent to the most suitable tenant in the shortest possible time.  Once an Authority to Manage has been completed and signed with our Company, we will commence marketing your property straight away. Your property will be automatically placed on the internet, rental list and in our window display.  Your property will also be advertised in the local newspaper.  We recommend presenting your property properly and at a rent consistent with the current market values to reduce any potential vacancy period.

Selecting a Tenant

Tenant selection is the most vital step in managing a successful investment property. It is better to refuse a tenant's application than to enter into a Tenancy Agreement with a tenant that does not meet our strict selection criteria. A tenant is required to complete a comprehensive personal application form, including references. This form is thoroughly checked, including the National Tenancy Database - a tenant register and debt collection company, to ensure the applicant/s have never defaulted in rental payments or owe any money to their previous landlords. All prospective tenant details are forwarded to the Landlord for consideration.  The landlord makes the final decision on all applications, however if requested, we are more than happy to offer our thoughts and advice.

Lease Negotiation

Negotiation of a tenancy agreement with a prospective tenant is of the utmost importance to your income and your property. It is imperative that you have the opportunity to increase rental amounts to ensure your property does not fall below its true market rent value.

Condition Report

Prior to the commencement of any Tenancy Agreement commencing, a detailed inspection of the property is conducted to complete the Condition Report.  This report outlines the condition of the property at the commencement of the tenancy and details all fixtures and fittings.  For added security, photographs of the property are taken prior to the commencement of any tenancy.

Routine Inspection

Routine/periodic inspections are conducted after a tenant takes possession of the property, at three (3) months and then six (6) monthly intervals thereafter. The purpose of these inspections is to ensure the property is being well maintained by the tenant and to ascertain if there are any repairs or maintenance items requiring attention. These inspections are conducted by a qualified Property Manager and you will receive a comprehensive written inspection report including photographs and any maintenance recommendations, if required.

Final Inspection

A final inspection is conducted immediately after a tenant has vacated the property and the keys have been handed in to our office.  The Condition Report is used at this inspection to ensure the condition of the property is the same as when the tenant took possession, "fair wear and tear" accepted.  The bond will only be refunded upon the property being left in a satisfactory condition. If the condition of the property is not left in a satisfactory condition, your Property Manager will either negotiate with the tenants on your behalf until a settlement can be reached or file an appropriate application to VCAT.  A member of VCAT will hear the case and make a binding decision based on the evidence presented. Monies can only be deducted from the bond if the tenant agrees.

Tenant Payment Options

The tenants are provided with a number of quick and easy options for making their rental payments, ie internet banking, direct debit from their bank account, property coded deposit books, cheque or money order and Centrepay - payments deducted from government benefits (small fee involved for Centrepay), leaving no excuse for late payments.

Landlord Income / Payment

At Select Property Group we give you the option of receiving your payments either - weekly, mid and end of month, or end of month. The choice is completely yours. Therefore, you can opt to receive your rental income no more than 7 days after your tenant has paid rent - earning you extra interest.  Detailed statements are instantly emailed to you.

Rent Arrears Control

We do not tolerate rent arrears in our office and our comprehensive rental arrears procedures include:

The best available computer technology designed to highlight any payment irregularities.
Daily examination of reports showing all "paid to dates" to isolate tenancies in arrears.
Phone calls, SMS messages and personal contact with tenants to bring rent up to date.
The vast majority of tenants pay their rent on or before the due date. However, a tenant who fails to pay their rent on time will be contacted immediately. For those who do not respond to "reminders", a written warning letter will be sent, explaining that if they fail to rectify the problem, they will be served with a Notice to Vacate followed by an application to VCAT.

Maintenance & Repairs

All maintenance and repairs are to be carried out in accordance with the Residential Tenancies Act and your instructions. Our policy is to make every attempt to contact all property owners prior to any repair being carried out.  You can nominate and use trades people of your choice, or you can choose from our experienced, qualified and trusted trades people. Payment of any maintenance carried out on your property can be deducted from your rental income. Itemised deductions will appear on your statements, complete with original invoices.
